Receptionist

Job Summary: The Receptionist is responsible for providing excellent customer service by answering phone calls, greeting visitors, and ensuring smooth office operations through tasks such as managing mail, shipments, and office supplies. This role also involves handling administrative duties such as documenting incoming checks, assisting with tax department mailings, and supporting business office functions like purchase orders and bank reconciliations.

Duties/Responsibilities:
Greet and direct clients in person and over the phone, including screening calls and visitors.

Represent the agency professionally.

Collaborate effectively with clients, colleagues, partners, vendors, and the public.

Perform basic receptionist duties such as opening and closing the office, maintaining a clean reception area, managing sign-in/sign-out logs, receiving shipments, stocking bathroom supplies, and monitoring agency email.

Document incoming checks and notify the business office when received.

Manage mail and shipping, including sorting and distributing daily mail and faxes, monitoring postage inventory, and ordering stamps as needed.

Issue purchase order numbers for approved purchases and compile reports for the business office.

Assist the tax department with preparing mailings.

Complete monthly Meals on Wheels sanction checks.

Work with the Office Coordinator to complete bank reconciliations.

Perform other duties as assigned.

Meet the needs of clients and co-workers. 

Ensure proper sorting, distribution, and sending of all incoming and outgoing mail.

Complete all tasks accurately and in a timely manner.

Represent the agency in a friendly, professional, and caring manner.

Education and Experience:

High school diploma or equivalent.

No prior experience required.

One to two years of experience in an office, receptionist, or customer service role is preferred.
